The problem

Office supply procurement is "small spend, infinite vendor fragmentation."

A 200-person office spends roughly $80K to $140K per year on office plus breakroom plus IT consumables plus basic furniture refresh. Almost no one consolidates that. Paper from Staples, toner from Best Buy or Amazon, coffee from a vending service, snacks from Sam's Club, furniture from one-off purchases. Five to eight active vendors, none of which see meaningful annual spend.

Toner OEM-vs-aftermarket is opaque.

HP, Brother, Canon, Lexmark all sell OEM toner at 2-3x the compatible price. Compatibles range from "fine" to "trashed my printer." Most office managers gave up trying to evaluate and default to OEM, paying for it.

Coffee service contracts are sticky.

"Free coffee machine with annual service contract" hides per-pod or per-pound markup that runs 35-60% above retail. Multi-year contract with hard-to-exit terms. Most offices are paying it without realizing how much.

Furniture refresh is one-off and overpaid.

Office moves, headcount expansion, conference-room refresh. Buyer gets pitched by furniture rep, ends up paying retail. Same chair available 25-40% lower through commercial distribution.

Multi-site office programs do not scale by hand.

3 offices is manageable. 12 offices means 12 reorder cycles, 12 invoices, 12 sets of vendor accounts. Office managers default to letting each location order independently.

What we supply

The whole office footprint.

Everything from copy paper to conference chairs, on one quote.

Paper

Multipurpose copy paper (20 lb, 92 / 96 / 98 bright), premium (24 / 28 / 32 lb), color (text and cover), card stock, recycled content (30% / 50% / 100% PCW), FSC certified, perforated, carbonless forms, photo paper. Hammermill, Boise X-9, Domtar, International Paper.

Ink and toner

OEM and re-manufactured. HP, Brother, Canon, Lexmark, Epson, Xerox, Ricoh, Kyocera. Both single cartridge and multi-pack. Maintenance kits, drums, transfer belts, fusers when print volume warrants.

Writing and desk

Pens (Pilot, BIC, Pentel, Sharpie, uni-ball, Zebra), pencils, markers, highlighters, dry-erase, permanent. Tape, scissors, staplers, paper clips, rubber bands, push pins, sticky notes (Post-it), desk pads, calendars.

Filing and storage

Binders (1 in to 5 in, view binders, presentation), file folders (manila, hanging, expanding, end-tab), labels (Avery), banker boxes, archival storage, file cabinets (lateral, vertical), bookcases.

Breakroom

Coffee (whole bean, ground, K-Cups, traditional pre-portioned packs). Tea, hot chocolate, hot cider. Cream (liquid, dry, half-and-half cups), sugar, sweetener (sugar, splenda, equal). Snacks (chips, granola bars, candy, nuts). Plates, cups, cutlery (single-use and reusable). Refrigerator and microwave consumables.

Basic furniture

Desks, chairs (task, executive, conference, guest, breakroom), filing cabinets, bookcases, conference tables, lobby seating, lockers, A/V carts. HON, Steelcase commercial, Global, Office Star, Lorell, Safco. Commodity to mid-tier; not design-grade.

Adjacent categories we bundle

The "office" bucket usually extends past office supply.

IT consumables

Cables (USB-A, USB-C, HDMI, DisplayPort, ethernet patch), surge protectors, power strips, UPS units (APC, CyberPower, Tripp-Lite), keyboards, mice, webcams, headsets, batteries (AA, AAA, 9V, lithium), portable storage, presentation remotes.

Restroom and jan-san crossover

Toilet tissue, paper towel, hand soap, restroom freshener (the office side of jan-san). Often easier to bundle here than to split out a separate jan-san order for a small office.

Mailroom and shipping

Manila envelopes, padded mailers, label printers (DYMO, Brother PT, Zebra), shipping labels (Avery), postage scales, packing tape. The mailroom side of packaging.

Lounge and conference signage

Whiteboards, dry-erase markers and accessories, easels, flip charts, projector screens, name plates, conference-room signage, wayfinding signage for new office moves.

Branded swag and recognition

We do not run a swag program but routinely bundle in basics: branded pens, mugs, notebooks, t-shirts for events. Through promotional-product specialty channels with 2-3 week lead time on branding.

Wellness and ergonomic

Standing-desk converters (Varidesk, Vari, FlexiSpot), monitor arms, wrist rests, keyboard trays, footrests, lumbar supports, anti-fatigue mats. Often added to chair refresh.

Common scenarios

Where office managers typically use us.

Monthly office replenishment

Standing PO. Standard kit per month (paper, toner, breakroom coffee, basic supplies). Quarterly true-up. One invoice. Replaces 4-6 vendor accounts.

Office move and new-headcount fit-out

Office expansion or new location. Desks, chairs, file cabinets, conference room, breakroom, restroom supply, IT consumables. One quote, one delivery window, shipped.

Quarterly conference-room refresh

New chairs, replacement whiteboards, A/V cable, dongles. Smaller cyclical buys that office managers do not want to handle through purchasing one at a time.

Multi-site office program

5-50 offices. Standardized kit per site (small / medium / large). Per-site shipping. Consolidated invoicing per site or rolled to corporate. Monthly cadence.

Manufacturer front-office supply

Plant has its own MRO procurement. The plant front office still needs paper, toner, breakroom coffee. We bundle this onto the same supplier relationship as the plant MRO.

School and education office supply

K-12 classroom supplies, paper, copier toner, breakroom for teachers' lounges. Bid through state cooperative pricing (CPS, TIPS, Sourcewell) or direct.

FAQ

Office and breakroom sourcing questions.

Do you carry OEM toner and ink, or aftermarket?

Both. OEM (HP, Brother, Canon, Lexmark, Epson, Xerox) and re-manufactured / compatible from established remanufacturers. We quote both and tell you warranty implications upfront.

Can you supply coffee service / Keurig pods in volume?

Yes. K-Cups, traditional pre-portioned packs, whole bean, ground. Starbucks, Peet's, Green Mountain, Folgers, Dunkin', Caribou. Plus cream, sugar, sweetener, tea, hot chocolate.

What about office furniture?

Basic furniture (commodity to mid-tier). HON, Steelcase commercial, Global, Office Star, Lorell, Safco. Design-grade and custom millwork is outside our scope.

Do you handle multi-location office programs?

Yes. Multi-site programs with per-site shipping, per-location budget caps, standard kit per office size, consolidated invoicing per location or rolled up.

What paper grades do you carry?

Multipurpose copy (20 lb, 92 / 96 / 98 bright), premium (24 / 28 / 32 lb), color, card stock, recycled (30% / 50% / 100% PCW), FSC certified, perforated, carbonless. Hammermill, Boise X-9, Domtar, International Paper.

Do you supply janitorial / restroom cleaning under "office"?

Yes, bundled onto office orders. Restroom paper, hand soap, breakroom cleaning chemicals can ship with the office order under one quote.

How are you different from Staples Business Advantage or W.B. Mason?

Big-box office contract-priced SKUs are competitive. We differ on multi-category bundling (office + jan-san + breakroom + foodservice + IT consumables in one quote) and the file-format flexibility (PDF, Excel, photo, plain text) big-box does not offer.

Can you supply IT consumables along with office?

Yes. Cables, surge protectors, UPS, keyboards, mice, webcams, headsets, batteries. APC, CyberPower, Tripp-Lite, Logitech.
